About The Role
We are seeking a highly skilled and experienced Leave of Absence (LOA) Administrator to join our team in a fully remote capacity. This role is pivotal in providing advanced-level HR leave of absence administration within a dynamic service/contact center environment. The successful candidate will act as a Subject Matter Expert, ensuring compliance with federal and state leave laws, including FMLA, ADAAA, Workers’ Compensation, and Disability Management. You will be responsible for reviewing, coordinating, and processing various leave requests, including Short Term Disability, Military Leave, and Family Medical Leave, while maintaining effective communication with employees, managers, and external vendors. Your expertise will help develop sustainable processes, minimize organizational risk, and enhance overall employee experience. The role also involves providing guidance and training to HR Service Center Representatives, supporting process improvements, and fostering collaborative relationships across departments.
Qualifications
* Comprehensive knowledge of Human Resources, Health & Welfare Benefits implementation, and leave administration.
* Minimum of four (4) to five (5) years of progressive experience in Disability Analysis, Coordination, or related support roles in high-volume environments.
* Associate degree required; Bachelor’s degree in Business Administration, Human Resources, or related field preferred.
* Occupational/Employee Health background and/or Disability Management experience required.
* Knowledge of medical terminology, insurance processes, and benefit administration.
* Strong understanding of federal and state regulations including FMLA, ADAAA, Workers’ Compensation, OSHA, and related laws.
* Experience managing leaves through HRIS systems; familiarity with Workday, Kronos, and PeopleSoft preferred.
* Excellent decision-making, communication, and interpersonal skills.
* Proficiency in MS Office Suite.
* Ability to work independently, prioritize tasks, and handle multiple responsibilities in a fast-paced environment.
Responsibilities
* Provide expert-level administration of leave of absence programs, ensuring compliance with applicable laws and organizational policies.
* Review, coordinate, and process all leave requests, including FMLA, Short Term Disability, Military Leave, and Workers’ Compensation claims.
* Evaluate employee eligibility and leave history independently, making informed decisions based on comprehensive data analysis.
* Communicate effectively with employees, managers, and external vendors regarding leave approvals, denials, extensions, and other pertinent information.
* Develop and implement efficient processes to support department service level agreements and organizational goals.
* Maintain up-to-date knowledge of legal and regulatory changes affecting leave management; pursue relevant certifications and training.
* Facilitate regular meetings with HR and cross-functional teams to analyze leave trends, provide statistical data, and recommend risk mitigation strategies.
* Build and sustain collaborative relationships with internal departments and external vendors to ensure smooth case management and compliance.
* Ensure confidentiality of sensitive information in accordance with HIPAA and NPI guidelines.
* Prepare reports, perform data audits, and support special projects related to leave management and HR operations.
* Provide training and guidance to HR Service Center staff on policies, procedures, and new initiatives.
* Adhere strictly to legal, regulatory, and organizational standards to maintain compliance and ethical standards.
