About The Role
We are seeking a highly organized and proactive Executive Assistant to support our executive leadership team. This remote position is open to candidates based in Illinois, Pennsylvania, or Tennessee. As an integral part of our team, you will manage and optimize the schedules, communications, and internal systems for our CEO, COO, and CLO, ensuring seamless operations and effective communication across all levels of the organization. Your role will involve strategic calendar management, inbox triage, CRM tracking, and the preparation of pre- and post-meeting materials. You will play a vital role in maintaining internal documentation, facilitating system integrations, and supporting leadership in developing tailored service proposals. During the first 90 days, your primary focus will be supporting the CEO, with opportunities to expand your impact by working closely with other executives. Your contribution will be crucial in enhancing leadership efficiency, fostering internal collaboration, and upholding Extrity Services’ commitment to excellence and client satisfaction.
Qualifications
* Minimum of 2 years experience in executive or administrative support roles.
* Proficiency with Google Suite (Calendar, Gmail, Drive, Docs) and CRM systems, preferably HubSpot.
* Strong written and verbal communication skills, with a keen eye for tone and confidentiality.
* Experience with project and task management tools such as ClickUp or similar platforms.
* Exceptional organizational skills with the ability to manage multiple priorities independently.
* Demonstrated problem-solving skills and proactive initiative in task execution.
* Professional demeanor with the ability to handle sensitive information discreetly.
* Understanding of corporate communication etiquette and time management best practices.
* Ability to thrive in a fast-paced, dynamic startup environment.
Responsibilities
* Manage and optimize executive calendars through strategic time-blocking, prioritization, and proactive scheduling.
* Triage and respond to executive inboxes, draft professional responses, and coordinate communications with internal and external stakeholders.
* Operate and maintain CRM systems, tracking deals, tasks, and activities across the sales funnel to ensure accurate and timely updates.
* Prepare pre-meeting briefs, agendas, and manage post-meeting follow-up actions using tools like Fireflies and ClickUp.
* Coordinate internal system alignment by linking CRM, calendar, and project management tools to streamline workflows.
* Create and maintain comprehensive executive documentation, including workflow playbooks, reports, and updates.
* Shadow executives during meetings to understand communication protocols and company culture, ensuring alignment and consistency.
* Execute email and calendar initiatives independently, demonstrating problem-solving skills and proactive efficiency enhancements.
* Develop contact reports, draft outreach templates, and support lead management activities to facilitate business growth.
* Assist in transitioning systems and responsibilities among executives to ensure continuity and operational efficiency.
* Collaborate with leadership to develop tailored service proposals that meet client site requirements and uphold Extrity’s standards.
